Speaker Instructions

The SEG 100 speakers, you are the focal point of the conference. We truly appreciate your dedication to the conference and its international success.

Whether you are attending the conference virtually or in-person, this letter contains important information you will need to know well prior to your session.

Please note that if you have not completed the speaker waiver form, you will not be able to present. Can you please use the link below to go to your profile in the abstract system, and then select the uploads link for your presentation, and then complete the Copyright Assignment and save.

Session format

Each session will have two Session Co-Chairs, as well as a Backup Chair in case of technical difficulties. Each session will also have high-quality technical support available, whether you are speaking live from Whistler, or speaking live from your computer. Please refer to the conference website for the most up-to-date Technical Program, where your speaking times and session chairs are listed.

If you are speaking live, please respect the tight schedule and stick to your allotted speaking times (14 minutes for most speakers, 28 minutes for keynotes). Your Session Chairs will give time warnings to ensure you complete your talk in the allotted time.

Each regular technical session concludes with a 15-minute Q&A session. All speakers are asked to "remain on the stage" for the Q&A, at which point the Session Chair(s) will ask questions on behalf of the audience, who will be typing questions into the Q&A chat box.

Instructions for speakers attending virtually

  • Enter the SEG 100 Conference on Hubilo (a link and login code will be provided via email)
  • Your speaker status is already built into the Hubilo platform, which will give you "speaker access" to your designated session(s). Navigate to your session under the "Agenda" tab.
  • Enter your session 20-30 minutes before the start time by clicking on "Enter Session as Speaker." This will take you to a Zoom meeting where you will meet and greet with your Session Chairs and co-speakers in advance of the session.
  • The Hubilo Admin host will be in the Zoom meeting for technical support as required and will activate the livestream at the session start time.
  • When it is you time to speak, unmute your microphone and click on the "Share Screen" icon in Zoom and select the appropriate screen to display your slide deck.
  • When you are finished your presentation, stop sharing your screen and mute your microphone.
  • Remain on the session’s Zoom call for the Q&A session. When the Q&A begins, turn on your camera. One of the Session Chairs will ask questions on behalf of the audience. Be prepared to unmute your microphone and answer questions.

  • See the table below to know where your session will take place
  • Arrive at your session room in the Whistler Conference Centre 20-30 minutes prior to the session start time with your finalized PowerPoint presentation on a USB stick and check in with the AV technicians at the tech desk.
  • You will give your presentation from a podium, just like a normal in-person conference! Your talk will be live-streamed to the conference’s virtual platform. You will be able to see the virtual speakers in your session during the Q&A on a big screen in the session room.
  • A Session Chair or AV technician will warn you when your allotted time is up.
  • Remain available for the Q&A period.
