We look forward to having you present at the SEG 2024 Conference, to be held September 27-30, 2024. This conference will take place in person at the Safari Conference Centre in Windhoek, Namibia.

You should have received an email containing complete instructions on uploading content to your account in the Abstract Manager. If you did not, please email Morgan Roy at abstracts@segweb.org.

Registration

Presenting authors must be registered for the conference by the early registration deadline of July 22, 2024. Presentations without a registered presenter will be removed from the program.

Student Presenters

Student presenters will not be charged a registration fee but must register. Additional support in the form of travel grants may be available to cover a portion of student presenters' lodging and transportation, but you must apply for student support. Those students selected for travel grants will be contacted separately with details confirming the amount of their travel grant.

Oral Presentations

All technical session speakers are required to respond to the "Oral Presenter Questions" on the Abstract Manager website. Note: No pre-recorded or virtual presentation options are available this year. All presentations must be given on site in Namibia.

We encourage you to include the SEG 2024 logo in your presentation slides.

Important Visa Information

Please be aware of recent changes in Namibian Government and Home Affairs regulations:

A Business/Short Term Employment Permit is now mandatory for exhibitors, oral speakers, field trip and workshop leaders attending SEG 2024. Poster and speed talk presenters are exempt from this requirement.

To streamline this process, SEG has coordinated with the Geoscience Council of Namibia and Namibian Home Affairs. As an oral speaker, you should have already received an email from secretary@geocouncil.org.na requesting your passport details to issue an invitation letter.

If you have not received this email, please contact Wilka at secretary@geocouncil.org.na immediately to request your invitation letter. The typical processing time for these visas is approximately 1-2 weeks.

Steps to Apply for an e-Visa

  1. Once you have received your invitation letter, visit the following link to apply online: Namibian e-Visa Application.
  2. Prepare the following documents for your application:
    • A notarized/certified photocopy of your passport.
    • For certified qualifications: Upload your CV/resume.
    • A passport-sized photo (a clear headshot will suffice).
    • For the motivation letter: Upload the invitation letter from the Geoscience Council of Namibia (from Wilka).

Note for Poster Presenters and General Attendees: If you are delivering a poster, speed talk, or simply attending the conference, and your country has a reciprocal visa arrangement with Namibia, you may obtain a visa/stamp upon arrival. All registrants should receive a letter of invitation from the Geoscience Council of Namibia by Monday, September 9. If you have not received one, please email secretary@geocouncil.org.na. You must bring a hard copy when traveling.

Presentation Preparation and Requirements

  • Presentations are 15 minutes. Plan on 12 minutes for the talk and 3 minutes for questions.
  • Presentation slides should be created at a 16:9 ratio.
