Presentation Requirements

Instructions for preparing extended abstracts and delivering presentations, posters, and speed talks.

Abstracts: Short or Extended

Preparation

  • Microsoft Word file (single spaced)
  • Submitted in English
  • Maximum of 1,000 words (including references and figure captions)
  • Option to include 1 table and 2 figures
    • Do not embed table or figures in the text; they should be uploaded separately.
    • Tables: Word or Excel files only
    • Figures: Images only (JPG, PNG, GIF, or PDF); 20 MB limit each.
  • References: Below are some formatting examples:

Submission

All extended Abstracts will be submitted via the Abstract Manager. Text font/size will be formatted automatically as information is entered, either by copying and pasting or typing in directly. Editing is permitted after upload, and special characters may be selected. There are separate boxes to enter the following:

  • Title: Use Upper and Lower Case ("Title Case")
  • Each author's name
  • Contact information for corresponding author
  • Abstract text with references and captions
  • Two figures (separately)
  • One table

When the abstract text is uploaded, you may decide to treat as a one-part abstract, or you may use divisions such as Introduction, Description, Results, Conclusions, and References, but this is not required.

Oral Presentations

Preparation

  • Presentations are 20 minutes (15 minutes for presentation + 5 minutes for questions).
  • Presentation slides should be created at a 16:9 ratio.
  • Bring your slides on a flash drive and deliver to the technical session in which you will be presenting. Label the drive with your last name and arrive 15 minutes before the session. An audiovisual person will be available to upload your slides.
  • A speaker ready room will be available for practicing beforehand. The room will be open 30 minutes before the first presentation and until the final session of each day.
  • For the current schedule, refer to the technical program.

Poster Presentations

Preparation

  • Poster dimensions: A0 (metric), portrait orientation
  • Presenters must print their own poster beforehand and bring to the venue.
  • Posters will be attached to display boards at the venue. Board and materials for attaching will be provided by SEG.
  • Presenters are requested to be at their posters during evening receptions, from 6:00pm to 7:00pm on Tuesday and Wednesday (October 8 and 9). If you will not be available during these times, you may post a note indicating a coffee or lunch break when you plan to be at your poster.
  • Posters may be mounted beginning at 8:00am on Tuesday, October 8. Poster numbers are indicated in the pocket program that will also be in the conference bag you will receive. Staff will be available on-site to assist as needed.

Speed Talks

Speed talks are not listed as an option when you submit an abstract. During review, the Technical Committee will determine which oral or poster abstract submissions are the best fit for the speed talk sessions. Presenters will then be offered this opportunity when they are notified of acceptance. If selected to give a speed talk, you must prepare both an oral and a poster presentation.
